StayJP Privacy Policy

Personal Information Protection Policy

(hereinafter referred to as "the Company") recognizes the importance of personal information handled in this website and services provided under the name "StayJP" (hereinafter referred to as "the Services"), and complies with the Act on the Protection of Personal Information (hereinafter referred to as "APPI") and related laws. The Company hereby establishes this Privacy Policy (hereinafter referred to as "this Policy") and strives to appropriately handle and protect personal information.

Article 1 (Definition of Personal Information)

"Personal Information" in this Policy means "personal information" as defined in the APPI, which is information about a living individual that can identify a specific individual by name, date of birth, address, telephone number, email address, or other descriptions, and includes personal identification codes such as facial features, fingerprints, voiceprints, passport numbers, and driver's license numbers.

Article 2 (Scope of Users)

"Users" in this Policy collectively refers to the following:

  1. Persons who use the Services and entrust the Company with the operation and management of accommodation facilities (hereinafter referred to as "Clients")
  2. Persons who stay at properties subject to the Services (hereinafter referred to as "Guests")
  3. Personnel of cleaning companies and other contractors that the Company engages to the extent necessary for providing the Services

Article 3 (Methods of Collecting Personal Information)

The Company collects personal information through the following methods:

  1. Direct provision from users during registration, application, or contract conclusion
  2. Provision through OTAs (Airbnb, Booking.com, Agoda, etc.) and other partner businesses
  3. Automatic generation and collection through use of the Services (access logs, entry/exit records, etc.)

Article 4 (Categories of Personal Information Collected)

The Company may collect the following personal information in providing the Services:

1. Information about Clients

Name, corporate name, representative name, address, telephone number, email address, identity verification documents, authority verification documents, bank account information, billing/settlement information, contract details, usage history, etc.

2. Information about Guests

Name, nationality, address, contact information, passport and other identity verification information (when required by law), accommodation history, reservation information, inquiry/complaint/incident response records, etc.

3. Information about Cleaning Companies and Contractors

Business name, contact person name, contact information, account information, service performance history, etc.

4. Log and Technical Information

IP address, cookies, device information, access logs, entry/exit records via smart locks, etc.

Article 5 (Purpose of Use of Personal Information)

The purposes for which the Company collects and uses personal information are as follows:

  1. Provision, operation, management, and improvement of the Services
  2. Contract conclusion, performance, management, and settlement with Clients
  3. Guest response, reservation management, check-in guidance, emergency contact
  4. Work instructions and management for cleaning companies and contractors
  5. Coordination with OTAs and payment service providers, reservation and payment processing
  6. Creation and retention of guest registers based on the Vacation Rental Business Act, Ryokan Business Act, and other laws
  7. Prevention of unauthorized use and security assurance
  8. Response to inquiries, complaints, disputes, incidents, etc.
  9. Purposes incidental to the above purposes of use

Article 6 (Changes to Purpose of Use)

  1. The Company may change the purpose of use of personal information only when the changed purpose is reasonably related to the original purpose.
  2. Any changes to the purpose of use will be announced through methods prescribed by the Company.

Article 7 (Provision of Personal Information to Third Parties)

The Company will not provide personal information to third parties without the consent of the individual, except in the following cases:

  1. When required by law
  2. When necessary for the protection of life, body, or property of a person, and it is difficult to obtain consent
  3. When particularly necessary for improving public health or promoting the sound development of children
  4. When it is necessary to cooperate with government agencies in performing duties prescribed by law

Article 8 (Outsourcing and Subcontracting)

  1. The Company may outsource cleaning services, facility inspections, system operations, etc. to third parties to the extent necessary for providing the Services.
  2. In such cases, the Company will enter into appropriate contracts with such contractors and exercise necessary and appropriate supervision to ensure that personal information is managed securely.

Article 9 (Coordination with OTAs and Payment Service Providers)

  1. The Company may share personal information with OTAs and payment service providers for purposes such as accommodation reservations, payments, and identity verification.
  2. The handling of personal information by such providers shall be subject to their respective privacy policies and terms of use.

Article 10 (Retention Obligations under Laws)

  1. The Company may be obligated to retain personal information such as guest registers for a certain period based on the Vacation Rental Business Act, Ryokan Business Act, and other related laws.
  2. In such cases, even if users request deletion, the Company may continue to retain information to the extent necessary under the law.

Article 11 (Cross-Border Transfer)

  1. The Company may transfer personal information to servers located in foreign countries in connection with the use of cloud services or OTAs.
  2. In such cases, the Company will take appropriate protective measures in accordance with the APPI.

Article 12 (Security Measures)

The Company implements organizational, technical, and physical security measures to prevent leakage, loss, or damage of personal information.

Article 13 (Disclosure, Correction, Suspension of Use, etc.)

Users may request disclosure, correction, addition, deletion, or suspension of use of their personal information held by the Company based on the APPI.

Article 14 (Changes to Privacy Policy)

  1. The Company may change this Policy in response to legal amendments or changes to the Services.
  2. The revised Policy shall take effect from the time it is posted on this website.
